GCT & Tax Compliance

Does YaadBooks calculate GCT automatically?
Yes. YaadBooks applies the correct General Consumption Tax rate to every invoice, quotation, and POS sale automatically. The standard GCT rate of 15% is the default, and the system also supports the 25% telecommunications rate, the 10% tourism rate, zero-rated supplies, and exempt items so your tax is always calculated correctly at the line level.
What GCT rate does YaadBooks use?
The standard GCT rate in Jamaica is 15%, and that is the YaadBooks default. You can assign other rates per product or service where they apply — 25% for telecommunications, 10% for tourism, 0% for zero-rated exports, or exempt — and YaadBooks tracks output tax and input tax separately so your GCT return adds up.
Can YaadBooks help me file my GCT return with TAJ?
YaadBooks tracks your output GCT (collected on sales) and input GCT (paid on purchases) throughout the month and produces a GCT summary aligned with the GCT 4A return. TAJ does not currently offer a public API, so the actual filing is still done on the TAJ portal at jamaicatax-online.gov.jm, but YaadBooks gives you the exact figures and a full audit trail so filing takes minutes instead of hours.
When is my GCT return due in Jamaica?
GCT returns are filed monthly and are due within 30 days after the end of the taxable period (the standard filers due date is the last day of the following month; cash-basis filers have 15 days). YaadBooks keeps your GCT ledger current so you are never scrambling before the deadline. Missing the deadline triggers a surcharge plus interest from TAJ.
Do I have to be GCT-registered to use YaadBooks?
No. YaadBooks works whether or not you are GCT-registered. As of April 2025 the GCT registration threshold is J$15 million in annual turnover. If you are below that you can still issue invoices without GCT, and if you register voluntarily or cross the threshold you can switch GCT on in your settings.
Are my invoices valid tax invoices under TAJ rules?
Yes. YaadBooks invoices include the elements TAJ requires on a tax invoice — the words "Tax Invoice", the date, a sequential reference number, your business name and GCT registration number, the customer details, a description of goods or services, the amount before GCT, the GCT rate and amount, and the total including GCT.

Payroll & Statutory Deductions

Does YaadBooks handle Jamaican payroll deductions?
Yes. YaadBooks calculates all five statutory deductions for every pay run: PAYE income tax, NIS, NHT, Education Tax, and HEART. It applies the correct rates and bases automatically, including the detail that Education Tax is calculated on gross minus NIS and approved pension contributions.
What payroll tax rates does YaadBooks use?
YaadBooks uses the current Jamaican rates: PAYE at 0% up to the tax-free threshold then 25% and 30% on higher bands; NIS at 3% employee and 3% employer (capped at the J$5 million annual ceiling); NHT at 2% employee and 3% employer; Education Tax at 2.25% employee and 3.5% employer; and HEART at 3% employer only. Rates are kept up to date as TAJ adjusts them.
Does YaadBooks generate the S01 and SO2 returns?
Yes. YaadBooks produces the data for the monthly S01 employer remittance (PAYE, NIS, NHT, Education Tax) and the annual SO2 employer return, plus P2A statements of earnings and P45 certificates when an employee leaves. The S01 supporting file can be exported for upload to the TAJ portal.
Does YaadBooks track the NIS ceiling automatically?
Yes. Once an employee crosses the J$5 million annual NIS earnings ceiling, YaadBooks stops deducting NIS automatically, so you never over-deduct or have to track the cap by hand across pay periods.
Can employees clock in and get digital payslips?
On the Professional plan and above, YaadBooks includes an Employee Portal with PIN clock-in and a kiosk mode, and it delivers digital payslips to staff. This keeps attendance and payroll connected so hours flow straight into the pay run.

TRN, Invoicing & Customers

Does YaadBooks store TRN and GCT registration numbers?
Yes. You can record your own Taxpayer Registration Number (TRN) and GCT registration number on your company profile, and store customer and vendor TRNs as well. These appear on tax invoices where required so your documents are compliant and your records are audit-ready.
Can I send invoices and quotations to customers?
Yes. YaadBooks lets you create professional invoices and quotations, send them by email, track whether they have been viewed or paid, convert quotations into invoices, and record partial or full payments. The Free plan includes a monthly invoice allowance and paid plans remove the limit.
Does YaadBooks support both JMD and USD?
Yes. The default currency is Jamaican dollars (JMD), and you can also work in USD and other currencies. Pricing across the platform is built around JMD first, which matters for GCT, payroll, and reporting in a Jamaican context.
Can I add my logo and customise invoices?
Yes. You can upload your logo, set brand colours, choose an invoice template, and add custom terms, notes, and a footer. Your invoices look professional and consistent with your brand.

POS & Inventory

Does YaadBooks include a point of sale (POS) system?
Yes. The Professional plan and above include a full POS for retail and counter sales, with unlimited terminals and users. Sales ring up GCT correctly, update inventory in real time, and post straight into your accounts — no separate till reconciliation app needed.
Can YaadBooks manage my inventory and stock levels?
Yes. YaadBooks tracks stock quantities, cost and selling prices, reorder levels, units of measure, SKUs, and barcodes. Inventory updates automatically as you sell through invoices or the POS, so your stock figures stay accurate.
Does the POS work for multiple cashiers and terminals?
Yes. On Professional and above you get unlimited users and terminals, each cashier can sign in with a PIN, and sales from every terminal roll up into one set of books for the business.
Can I scan barcodes at the POS?
Yes. Products can carry barcodes, and the POS supports barcode scanning to speed up checkout and reduce keying errors at the counter.

Offline Use, Data Security & Export

Does YaadBooks work offline when the internet drops?
Yes. YaadBooks is built for real Jamaican conditions. You can keep ringing up POS sales, creating invoices, and managing inventory even when your connection drops, and everything syncs automatically when you are back online — so a power cut or a flaky link never stops you trading.
Is my financial data secure?
Yes. Your data is encrypted in transit and at rest. YaadBooks uses Argon2 password hashing, supports two-factor authentication, and enforces role-based access controls so staff only see what they should. The platform is built and audited to enterprise security standards.
Can I export my data and reports?
Yes. You own your data. You can export reports and records to Excel, CSV, and PDF, including your profit and loss, balance sheet, GCT summaries, and payroll reports. There is no lock-in — you can take your data with you at any time.
Where is my data stored and is it backed up?
Your data is stored securely in the cloud on a managed PostgreSQL database with regular automated backups, so your books are protected against device loss, theft, or hardware failure. Because it is cloud-based, you can access the same up-to-date records from the shop, the office, or home.
Who can see my company data if I add staff?
Only the people you invite, and only to the extent you allow. Role-based permissions let you give a cashier POS access without exposing payroll, or give an accountant reporting access without letting them change settings. You stay in control of who sees what.

Is YaadBooks really free to start?
Yes. The Free plan is free forever and includes core invoicing, expense tracking, GCT compliance, and basic reports — no credit card required. Paid plans add unlimited invoicing, payroll, POS, inventory, and more as your business grows.
How much does YaadBooks cost?
Plans start at J$3,499 per month for Starter, J$7,499 for Professional (the most popular plan, with POS and the employee portal), J$13,999 for Business (up to three companies and advanced analytics), and J$22,999 for Enterprise. There is also a Free plan and an annual option that saves you two months. See the pricing section for full details.
Do paid plans charge per user?
No. YaadBooks does not charge per-user fees on Professional and above — you get unlimited users and terminals on one plan. This is a deliberate difference from foreign software that bills you for every seat.
Do I get a free trial on the paid plans?
Yes. Paid plans come with a free trial so you can try the full feature set before you pay, and no credit card is required to start. If a plan is not the right fit you can change it at any time.
How is YaadBooks different from QuickBooks?
YaadBooks is built specifically for Jamaica, while QuickBooks is built for foreign markets and adapted at best. YaadBooks defaults to JMD, calculates GCT at 15% and the other Jamaican rates out of the box, handles PAYE, NIS, NHT, Education Tax, and HEART payroll, works offline through power and internet outages, charges no per-user fees on paid plans, and is supported by a team that understands Jamaican business.
